East Hampshire Free Cycle Hire – Terms and Conditions
You will need to bring:
- Photo ID; Driving licence, Passport or other* by prior consent ONLY – you will need this confirmed by us via email ahead of your hire otherwise the hire will be refused.
- Proof of East Hampshire residency clearly showing your name matching the photo ID and the qualifying postcode, must be dated within 3 calendar months;

How it works:
Book a bicycle at https://cyclesphere.co.uk/freehire
Select the bicycle, selecting the size needed, select the morning or afternoon hire, click on the available start time (green time confirms available to you), complete the name, address & contact details and submit – you will receive a pending email from us until the reservation is validated whereupon you’ll receive a second email confirming the booking.
If you need to add another bike for your group (max 4 per EHDC resident) please repeat the booking process for the and add the name & contact of the rider in the hire form referencing the group leader in the notes for each additional bicycle.
Each adult rider will need to sign their own hire agreement agreeing to these T&Cs, hires for children will require parental/guardian consent and must be accompanied at all times by an adult during the hire.
The hire period ends 3 hours after the time & date of your booking not from departure as we have to check the bikes over for the next session, there will be charges made for late returns.
We strongly advise wearing helmets either your own or you can add one to your hire to be returned with the bicycle at the end of the session, Child seats are available that will fit some of our hire bikes; please discuss your needs at least 48-hours ahead of the hire.
Cycling is not a risk-free activity; please consider all relevant factors when hiring a bicycle whether electrically assisted or not; factors include but are not limited to: Road safety, weather conditions, rider health, rider experience, chosen route and route conditions. You will minimise these risks by following the highway code, our safety briefing instructions, wearing appropriate clothing, and taking suitable precautions.
All our bikes are checked by our qualified mechanics between each hire, however, please assess the bike and ask about anything which you aren’t sure is right.
THE HIRER IS RESPONSIBLE for the bike and the equipment and will be liable for any loss, theft or damage to the bike or equipment through the agreed hire term.
POSITIVE PHOTO AND BANK CARD IDENTIFICATION is required from each hirer plus a permanent address. You must bring a valid driving license or passport and a debit / credit card as proof of identification and address prior to hire commencing. Additionally your ID or approved accompanying documentation must show a valid qualifying address with an East Hampshire postcode in order to receive the “Free hire” subsidy from EHDC. Without these we will be unable to hire the bicycle. Non-EHDC residents may hire bicycles subject to our commercial hire rates and requirements.
PAYMENT for hiring is due before or at commencement of hiring. Delays in returning rental bikes will be charged for at the specified “late return” rate. Only qualifying residents will receive the free hire subsidy.
LOSS AND DAMAGE: SECURITY DEPOSIT we reserve the right to charge upto £200/bike deposit when hiring a bike. The hirer will be liable to pay in full the cost of any loss, theft, or damage of the bike/equipment, which may be over and above the value of the security deposit.
Any damage will be charged for at cost price. Hire bikes should only be ridden on the grade of trail that they are designed for. Any bikes found to have been ridden on a trail above the grade they are designed for will have their security deposit withheld.
SECURITY bikes must not be left unattended at any time unless locked securely. Vehicle transportation of bicycles is restricted to written agreement in advance to ensure the safe transportation of the bicycle but the purpose of the scheme is to explore our local cycling infrastructure consideration will only be given in special cases.
Hire Duration & Times
Due to the demand expected for the scheme, we have fixed start and end times for each hire session, the end time being absolute:
Morning hire return deadline; Tuesday – Friday: 13:30, Saturday 12:30
Afternoon Hire return deadline; Tuesday – Friday: 17:30, Saturday 16:30
CANCELLATION Charges: within 24 hours, £30. Within 1 week £10 cancellation charge, beyond 1-week: no charge.
LATE return charges per rental item: £30 per hour or part.
CHILDREN Children aged 17 years and under must always be accompanied by an adult (including on the trails), no adult, no ride, no refund! If a booking is made for a person under the age of 18 you must notify Cycle Sphere when you book, notifying us of who will be accompanying them. E-bikes can only be ridden by people aged 14 & over; this is a legal requirement.
HELMETS are strongly recommended with the hire of any bike from Cycle Sphere, if you do not have one you will be advised to wear a rental one as part of the hire agreement.
